Compare Tools

In-depth, side-by-side comparisons of productivity and privacy tools. Every recommendation is backed by hands-on testing and a transparent scoring process.

How We Test and Score

Every tool featured on Safe Productivity goes through the same rigorous, multi-step evaluation. We do not accept payment for placement, and affiliate relationships never influence scores. Here is exactly how a product earns its rating.

1. Extended hands-on testing

We install every app on at least two platforms (desktop + mobile) and use it as a primary tool for a minimum of 30 days. VPNs are tested on Windows, macOS, Android, and iOS across three geographic regions.

2. Structured criteria

Each product category has a fixed rubric. For VPNs we measure speed (25%), security & privacy (30%), ease of use (15%), features (20%), and value (10%). Productivity tools use a parallel rubric weighted toward collaboration, offline access, and ecosystem breadth.

3. Reproducible benchmarks

VPN speed tests use iPerf3 and Speedtest CLI from a 1 Gbps baseline across 10 server locations. Latency, download, and upload figures are averaged over five runs at three times of day. Productivity app load times are measured with browser DevTools and repeated three times.

4. Final scoring (1 – 10)

Sub-scores for each criterion are weighted and combined into a single 1–10 rating. A score of 8+ means we confidently recommend the tool; 6–7.9 means solid with caveats; below 6 means significant drawbacks that may rule it out for most users.

VPN Comparison (2025–2026)

We tested each VPN for at least 30 days, measuring real-world speeds from three locations (US East, Western Europe, Southeast Asia). Security ratings factor in encryption standard, kill-switch reliability, independent audit history, and jurisdiction.

Productivity Tools Comparison

Choosing the right productivity stack depends on how you work. A solo freelancer writing long-form content has different needs than a 15-person engineering team coordinating sprints. The table below highlights the dimensions that matter most: offline access, collaboration depth, pricing transparency, and integration ecosystem.

Buying Guidance

Not every tool is right for every workflow. Below we break down our top picks by use case so you can skip straight to what fits your situation.

Best for Remote Workers

Remote teams need reliable VPN access to company resources and a productivity suite that handles real-time collaboration without lag. NordVPN pairs fast WireGuard-based connections with dedicated IP options that play nicely with corporate firewalls. Notion remains the strongest all-in-one workspace for distributed teams thanks to inline databases, shared wikis, and deep Slack integration. If your team already lives in Jira or Linear, ClickUp is worth evaluating because it can mirror those workflows while adding docs and whiteboards in one place.

Best for Budget-Conscious Users

Value does not have to mean compromise. Private Internet Access (PIA) offers the lowest per-month cost on a three-year plan, open-source clients, and unlimited simultaneous connections — rare at this price point. Surfshark is the runner-up, matching PIA on unlimited devices while adding a built-in ad-blocker. For productivity, Obsidian is entirely free for personal use and stores files locally in plain Markdown, so you never risk losing access if a subscription lapses. Todoist's free tier covers five projects and is often enough for individual contributors.

Best for Speed

If your work involves large file transfers, video calls, or cloud-based rendering, ExpressVPN and NordVPN consistently deliver the highest throughput in our iPerf3 benchmarks. Both use WireGuard-family protocols (Lightway and NordLynx respectively) and maintain sub-30 ms latency on regional servers. On the productivity side, Todoist has the snappiest interface of the apps we tested — pages load in under 400 ms and offline sync resolves near-instantly once connectivity returns.

Best for Privacy

For users who treat privacy as non-negotiable, PIA stands out: it is one of few VPNs whose no-log policy has been tested in court (twice), and every client app is open-source. NordVPN counters with three completed independent audits by PricewaterhouseCoopers and Deloitte, RAM-only server infrastructure, and a bug-bounty program. On the productivity front, Obsidian keeps every note on your local filesystem by default — nothing is uploaded unless you opt in to their Sync service — making it the clear winner for anyone handling sensitive research, legal documents, or health records.
